MPI_6305 Employee Pay History Export

The Employee Pay History Export allows clients to review the pay history of their employees.

Note: This export is useful for—but not limited to—gathering data for the Affordable Care Act (ACAClosed Affordable Care Act). For more information about your employer shared responsibility, see Affordable Care Act (ACA).

Important: The result of this export must be a comma-separated value file. For more information, see MPI_6305 Employee Pay History Export below.

When more than one field contains the same value, the remaining fields that contain that value will display a message. For example, a report is generated to show the total hours an employee worked for a range of dates. This employee happened to work for two companies in the same date range. The report groups on SSN and needs to display the employee’s name and total worked hours. As long as the name is entered exactly the same for both companies, the report displays the name. If the Home CC1 code is added, the report displays the Home CC1 code if both companies have the same code; otherwise, the message **MultipleCC1Codes** is displayed.

If the user who runs the report does not have access to all employees and companies intended to be included in the report, a message will be displayed in the header record and all data fields will be masked.

 

To run the Employee Pay History Export report in Payentry® NextGen:

 

  1. Go to the Company > Reports > Company Reports page.
  2. Scroll down to the Employee Reports section OR select Employee Reports from the Choose a Report Type drop-down menu. You may also simply type in the name or the number of the report into the search bar to find it quickly.

  1. Click on the Run button in row of the Employee Pay History Export report. A Run Report dialog opens.
  2. Fill out the fields in the Basic Options section. The most important field here is the Date Range. For detailed explanation of the fields please see: Run Company Report Menu Options.
    • Select a Date Range - pick the date range for which you want to export pay history for the employees. This report is based on the process number.
    • Select an Output format - we recommend the CSV format.
    • Select when to view a report - either view it right when the report is ready or later from the My Reports > Report Pickup section.

  1. Click on the Show Advanced Options link to expand that section and further customize your report.
  2. Select the following options and fill out the fields to customize your report:
    • Sort Order - select how the details in the report are grouped and which order groups appear in.

    • Sorting Type - select a sorting type for the report, this determines the level of details in the report.

    • Show Header - select to include the header row in the export.
    • Tax Form - Use this drop-down list to filter employees according to the selected tax form.
    • Column 1 - Column 30 Value - allow you to select data to include in the report.
    • Earning Code Group - Allows you to specify which earning codes are used for the calculation of total hours and dollars. Code Groups are created within each company. If you are planning to run the report across companies, while using code groups, each company will need to have the same code group name. The earning codes for each company do not have to be the same.
    • Filtering - select how the details in the report are grouped and which order groups appear in.

  1. Click the Run Report button to create this report. Depending on the delivery option you selected, the report loads in the browser, is emailed to you, or is added to My Reports.

 

Once you open the report, it will display the pay history of the employees selected for the report.
