Set Up a Mail Client (SMTP)

To use e-mail in order to contact client companies, you must configure the Millennium® MailClient job. Perform the following steps:

  1. Select System > Setup > Job Classes tab.

The system displays the Job Classes page, as shown in Figure 2-197:

  1. Scroll down and select the MailClient job, as shown in the example in Figure 2-198:

  1. Click Edit Default Properties, as shown in the example in Figure 2-198.

The system displays the Mail Client Configuration dialog, as shown in the example in Figure 2-199:

  1. Fill in the fields with the appropriate information (do not use the value in Figure 2-199).

If you do not know the proper values, ask your IT professional for help.

  1. Click OK.

You have now configured Millennium® to use e-mail.

 

System Setup

To enable the Storeroom service for your service bureau, perform the following:

  1. Select System > Setup > Directories tab.

The system displays the System Directories page, similar to the example shown in Figure 2-200:

  1. Select the Storeroom item in the Type column.
  2. In the Directory sub-page, enter a network-accessible, shared directory as the root for all the storeroom repository files.

You can also use the browse button to locate a suitable root directory.

Each Millennium® Process Server must be able to write to the directory you select.

The Storeroom files are organized first by company, then by year. All documents for a company in a given year are stored in one directory.

Files in the storeroom repository are in a compressed format to save disk space. All storeroom repository files have the .MDOC suffix. The structure of the filename varies based on the type of document being stored.

In general, the filename starts with:

<Company Code>_YYYYMMDD<seq#>_<SomeDescriptiveText>

The filename ends with the .MDOC suffix.

For example:

100_2006033101_Check Register_Payroll.mdoc

Important: Do not attempt to edit the storeroom repository files or rename them.

Company Setup

To enable the Storeroom service for a company, perform the following:

  1. Select All Companies > [company] > Company Maintenance > Master Company Setup > Services tab.

The system displays the Company Services page, similar to the example shown in Figure 2-201:

  1. Add the Storeroom service by clicking the yellow star button. The system displays a list of available services, as shown in Figure 2-203:

  1. Select StoreroomDocumentStorageSystem from the list.

The service start date is the date you want to start storing information in the storeroom—either today’s date or a date in the future.

Note: Using a start date in the past will not retroactively store reports in the storeroom.

  1. Next, highlight the Storeroom service and click Edit Properties. The system displays the Storeroom Services Properties dialog:

  1. Verify or update the information displayed in the Storeroom Contact Information dialog.
  2. Select the appropriate value from the Contact Method drop-down list:
  • Email — Allows you to send e-mails to clients containing password information
  • Letter — Gives you the option of creating a letter to send to the client
  • Telephone — [Informational only] Lets you enter a phone number so you may easily call the client with their password information
  1. Once you have filled in the appropriate information in this dialog, press OK to save your updates or Cancel to discard any changes you made.

You have finished working with the required settings. You can now save documents in the storeroom repository for your client companies.
