MPI_0002 Year-to-Date Report

Overview

The Year-to-Date (YTD) report is useful for a variety of tasks, such as verifying year-to-date figures when you are balancing retirement account withholdings, quarterly, and yearly tax withholding figures. In addition, you can use it as a cross-reference for totals within the system and on other reports, such as labor distribution.

Year-to-date figures are very important with regard to running quarterlies and year end tax forms. For this reason, it is a good idea for service bureaus to review the YTD figures of their clients on a regular basis. Problems with calculations, irregular check types, adjustments, and deleted processes can all be the cause of questionable YTD figures.

It is possible for YTD figures to not agree with the figures that would be generated, based on the summation of history records for employees by pay period. Therefore, your first step should be to submit an UpdateYTD job manually for the company in question.

Date Selection

In the Report Properties dialog, click on the Date Selection tab. The system displays the Date Selection page.

As explained in Date Selection, you can use Override Dates  to select specific check date/process number combinations. Millennium® actually bases each report on one or the other: the date or the process number.

This report is based on the process number.

This report uses company-style default date ranges (Most Recent Pay Period, Current Month, and so on); however, the data is pulled from the YTD tables. Therefore, it does not matter which date range is chosen—the report will always provide the year-to-date as of the date you run the report.

Note: You can run the Labor Distribution report first, which will show YTDs “as of” a specific date. For example, 2/1/12 – 2/28/12 will only show YTDs as of 2/28, even though you may run the report on May 1.

Data Selection

In the Report Properties dialog, click on the Data Selection tab. The system displays the Data Selection page.

As explained in Data Selection, you can use this page to include company filters to narrow down the selected data for this report. If you want to create a filter, design it to access the following database tables:

  • CInfo
  • EInfo
  • EYtd

Subtotals/Breaks

In the Report Properties dialog, click on the Subtotals/Breaks tab. The system displays the Subtotals/Breaks page:

The default Sort Order is Dept Name. Available sorts include:

  • Dept Name
  • Dept ID
  • Name
  • ID

This report allows six categories in the Groups column. If you select Custom Sort Order , the groups in Table 2-294 are available:

Include ER Taxes

If you put a check in this check box, the report includes taxable wages for employer taxes.

Note: Tax amounts will not be displayed.

Use these drop-down lists to specify which piece of employee data is displayed in the corresponding line of information underneath the employee’s name.
