Generic Rule to Prevent Voiding All Checks

The generic rule explained here are the starting point for the specific rules listed at the bottom of this topic.

A generic rule simply prevents a role/user from being able to void any checks. If you want a rule that prevents roles/users from voiding direct deposits, you must create it separately from this rule (see How to Create the Version for Direct Deposits below).

  1. Go to the Rule Setup sub-tab:
  2. Select DENY and EPaycheck from the access and objects drop-down lists, respectively, as shown in Figure 2-73:

  1. Enter a description so that other administrators can understand what the rule does.
  2. Now that the rule is defined, click on the Conditions tab:

This is where you will give the rule its definition, telling it when it needs to work. This generic rule needs only one condition. The more detailed examples are more specific.

  1. Add a new condition by pressing the yellow star button.
  2. Select THIS in the Target Object Type drop-down list.
  3. Select checkNumber from the Field drop-down list.
  4. Select <> in the Op drop-down list.
  5. Enter 0 (zero) in the Value field.
  6. Select Numeric in the Type drop-down list (because you are comparing a number).

Your Conditions tab should look like Figure 2-74 above.

  1. Select the Add New check box, as shown in Figure 2-75above.
  2. Press F11 to save your work.
What does this rule accomplish logically?

When you void a check in Millennium®, the system creates another check with the exact same check number—but with all monetary entries as negative numbers—and puts it in the VM batch of the current payroll. The negative numbers cancel out the numbers on the original, associated check. Sharing the same check number allows you to pair them to ensure they cancel each other.

The ability to void checks in Millennium® is an important feature. Some organizations wish to keep the ability to “authorize” voids in the hands of authorized managers rather than the same people who create other types of manual checks.

Therefore, you can use this rule to allow certain users to create checks—but not void checks.

How to Create the Version for Direct Deposits

To create this generic rule, follow the same steps explained for voiding paychecks, but with one exception: when you are on the Conditions sub-tab, select voucherNumber in the Field drop-down list:
